Centralizing a Real Estate Agency's Listings and Leads in One App

A look at how one real estate agency replaced scattered listings and spreadsheet lead tracking with a single connected platform.

The Client and Their Challenge

Our client is a real estate agency that had property listings spread across print materials, third party portals, and individual agent contacts, with no central place a buyer could search everything at once. Interested leads came in through calls, emails, and walk ins, and agents tracked follow ups manually in personal spreadsheets that never stayed in sync with each other.

That fragmentation meant leads sometimes went days without a response, and the agency had no clear picture of which listings were generating real interest versus which ones were sitting untouched.

How We Resolved It

We built a real estate app with a centralized property listing search, virtual tour integration, and a lead management dashboard that routed new inquiries directly to the right agent. Buyers could filter listings by location, price range, and property type, and view virtual tours without needing to schedule an in person visit first.

On the agency side, the lead dashboard replaced the spreadsheet entirely, giving every agent a live view of their assigned leads and follow up status.

Challenges We Faced Along the Way

  • Standardizing scattered listing data. Property details existed in inconsistent formats across print materials and portals, so bringing everything into one structured database took careful mapping before the app could even launch.
  • Keeping virtual tours fast to load. High quality virtual tour media can slow an app down quickly, so we had to balance visual quality with performance across different connection speeds.
  • Routing leads to the right agent instantly. Hot leads lose value fast, so the routing logic had to assign inquiries the moment they came in, not batch them for manual sorting later.

The Outcome

Listings became searchable in one place for the first time, and agents started responding to new leads far faster once inquiries routed directly to their dashboard instead of sitting in a shared inbox. The agency also gained visibility into which listings were driving genuine interest, something the old system never made clear.

"We used to lose track of leads between agents constantly. Now every inquiry goes straight to the right person, and we can finally see which listings are actually working."

Frequently Asked Questions

Can the app integrate virtual tours for property listings?

Yes. We integrate virtual tour media directly into listings while optimizing load times so the app stays fast across different connection speeds.

How does lead routing work?

New inquiries are routed to the assigned agent the moment they come in, based on rules you set, such as property location or agent availability.

Can multiple agents use the app at once?

Yes. Each agent gets their own dashboard view of assigned leads and listings, while admins retain full visibility across the agency.

Do we own the app after it's built?

Yes. The app is built with full source code and IP ownership included, so you're never locked into ongoing fees.

How long does a real estate app take to build?

Most builds take 10 to 16 weeks depending on how many listing sources need to be integrated and how much customization the lead dashboard needs.
