Turning a Travel Agency's Manual Bookings Into a Self Service App

A look at how one travel agency moved from agent led bookings to a platform customers could search and book on their own.

The Client and Their Challenge

Our client ran a travel agency that handled every booking through phone calls and email threads with agents. Customers looking for flights, hotels, or full itineraries had to wait on an agent's availability just to get a quote, and the agency had no way to show real time pricing or availability without checking each supplier manually.

As the business grew, agents became the bottleneck. Peak season meant long response times, and customers increasingly expected to search and book on their own schedule, not around agency hours.

How We Resolved It

We built a travel app that let customers search flights and hotels, compare options, and book directly, with itinerary management and in app payments handled end to end. Agents stayed involved for complex, multi leg trips, but the app took over the straightforward bookings that used to eat most of their day.

The admin dashboard gave the agency visibility into every booking in progress, so agents could step in exactly when a customer needed extra help instead of managing every booking from scratch.

Challenges We Faced Along the Way

  • Connecting multiple travel suppliers. Pulling real time flight and hotel availability meant integrating several supplier systems so pricing stayed accurate without constant manual updates.
  • Keeping a complex booking flow simple. Flights, hotels, and multi day itineraries all needed to fit into one clear flow without overwhelming a first time user.
  • Balancing self service with agent support. The app needed a clear path for customers to reach an agent when a booking got complicated, without pulling every user back into a phone call.

The Outcome

Customers began booking straightforward trips directly through the app, freeing up agents to focus on complex itineraries where their expertise actually mattered. Response times on agent supported bookings improved once routine requests stopped filling their queue, and the agency gained a searchable booking history it never had with phone based scheduling.
